How to Enter step by step

1) Choose eligible entries

Eligible entries must meet the following criteria:

  • Materials produced from January 1, 2004, through December 31, 2004
  • Projects which were initiated in 2003 but distributed in 2004
  • Projects initiated in 2004 which are to be distributed in 2005

2) Select a category

Select a category that you feel best represents the theme or strength of your work. For example, if you have a one-time publication, and its purpose is investor relations communication, enter it in either the "Programs and Campaigns-Investor Relations" category, or "Special Publications" category, or in one of the "Graphic Design" categories, or all of the above.

Portions of the same work may be entered in more than one category. For example, you could submit a benefits program in the "Programs and Campaigns-Benefits Communications" category and a poster that is part of that program in the "Special Publications-Posters" category. Each entry requires a separate entry form and fee.

Entry Reassignment

The judges reserve the right to reassign an entry to a better suited category for most equable judging. An entry may win or lose in a category in which it was not entered.


3) Prepare entries

Write a Description

Please submit a description of your project and state goals, objectives and results (if applicable). Please limit to two pages or less. Provide broad overview, not detailed analysis. This will not be a judged essay, but it is important to the judges understanding of your entry. Publication, writing, and design entries do not require a description unless you feel it is needed.

Presentation

Warwick Publishing prepares your entries for the judges. We need to be able to work with the entry materials easily, so please use as few presentation materials as practical. However, materials must not be loose or detached.  Avoid binders if folders or large clips suffice. Do not mount projects. Please provide only ONE set of materials for each entry. Warwick Publishing circulates materials to the judges of each category for environmental reasons.  The Entry Form (both copies) must be the top page of your entry.

Magazines / Publications - please submit three consecutive issues produced during the eligibility period.

Special Requirements for Electronic Entries

  • Submit Web site address on a plain sheet of paper and a printout of at least the home page and two other pages.
  • If Web site is behind a firewall, please download and submit diskette using Windows in any format that is convenient (i.e., Adobe Acrobat, HTML, MSWord). Other visual presentations such as photographs, VHS videotape (formats such as PAL cannot be converted) or mock-ups would be helpful.

4) Submit the following:
  • Official Entry Form
    • Each entry you submit must have an official Entry Form.
    • Click on official Entry Form. Carefully read the instructions at the top of the form before filling it out. The form MUST be entered online. If you are unable to enter online, please call 650-365-4571 and we will provide support.
  • Description, if applicable
     
  • Entries
     
  • Entry Fee
    The entry fee is $100 per entry. Entry fee must accompany entry and is non-refundable once submitted.  There is a "late bird" fee of $20 per late entry.
    • Make checks payable to: Warwick Publishing. Do not staple check to entry form.
    • Credit card services are available through Wells Fargo at checkout.
    • Non-U.S. entries may make payment by wire for an additional fee.

5) Reference

Deadline
All entries must be RECEIVED by January 25, 2005. There is a "late bird" deadline, February 2, 2005, for an additional $20.00 per entry.  Late Bird entries must be RECEIVED by February 2, 2005.

Notification of Winners
Competition winners will be notified by May 30, 2005 . Letters of congratulations and the trophies will be shipped separately to the address on entry form.  Shipping and trophy detail (i.e., name to appear on trophy) MUST be verified or corrected via our online system. A letter sent to winners provides instruction.

Trophies take up to 6-8 weeks for arrival.  There is no fee for winner's trophy.  A limited number of duplicates are available for a  fee.

 

Non-winners will NOT be notified by letter that their entry/entries did not win. Please check the Winners' List after May 30th to verify your status.

Return of Materials
Materials are not returned; some are donated to a local college. Please note on Entry Form if your entry materials should be destroyed immediately after the judging process.
